What's new in FlexiPDF 2019?

A few days ago, we released FlexiPDF 2019. It's the successor of FlexiPDF 2017 which we released in November 2016, and it offers significant improvements. In this blog post, would like to introduce you to the major changes in the new version of our PDF editor.

Create interactive forms

Since the first release of our PDF editor in 2016, we have received requests from many customers who not only wanted to fill out interactive forms with FlexiPDF, but also to create and edit them.

With FlexiPDF 2019, this is now possible without compromise: With just a few clicks you can insert interactive elements such as selection lists, checkboxes and input fields in your PDF form. Such forms can be filled out conveniently by any user with a PDF viewer.

To insert interactive form elements into your PDF, all you need to do is make sure that the Form Editing toolbar is visible. Activate it by choosing View > Toolbars > Form Editing.

Clicking one of these icons inserts a form element in your PDF.

Compare PDFs

A real highlight of FlexiPDF 2019 is the side-by-side comparison feature. It enables you to view any two PDF documents side by side and to scroll them synchronously. This is particularly useful for translations or when comparing several versions of the same PDF file.

There are several ways to compare two PDFs side by side:

  • Open a PDF document in FlexiPDF and choose File > Open for Comparison to open another PDF file for comparison. The latter is placed on the left.
  • Drag and drop two PDF files onto an empty FlexiPDF program window. The order in which you selected the files determines the placement: the first selected file appears on the right, the second on the left.
  • Drag and drop a PDF file onto a FlexiPDF program window in which another PDF is already open. The file that was opened first will appear on the right, the other on the left.

The file placed on the left can only be viewed, while the file on the right can also be edited:

Please note that you can only compare documents with the same number of pages.

Tip: In some cases it may be helpful to compare two files one below the other, rather than side-by-side. To do this, use the View > Compare Vertical command.

Take snapshots

Would you like to make a "snapshot" of a part of your document and save it as an image file? With FlexiPDF 2019 you can do so by selecting the new "Snapshot" tool from the toolbar:

Then use the mouse to draw a rectangle around the area you want to save as an image. A dialog box appears in which you can specify the file format, the resolution and other options for the target file:

Click OK to save the snapshot.

Bates numbering

Would you like to place unique IDs on a large number of PDF documents? To number a batch of invoices consecutively? To add a unique header or footer to multiple documents?

The new Bates numbering feature makes this possible: You can open any number of PDF files (or even entire folders with PDF files) into FlexiPDF and add sequential numbers, text stamps and date stamps to them all at once.

To do this, go to File > Bates Numbering and select the PDF files or folders you want to number. Then specify which contents should be written in the header or footer area of the documents. The following example illustrates a scenario in which a stack of incoming invoices would be numbered uniquely and provided with the date of examination:

Enter static text by simply typing it in the text fields. The dynamic content – i.e. Bates number, page number and date – can be inserted by placing the cursor in the desired field and clicking the respective button in the middle of the dialog box.

In the lower part of the dialog box, you will find options for formatting the headers and footers.

Convenient image editing

You may have seen this before: You want to edit an image in a PDF with some external image editing software and update it in the PDF. Previously, you had to export, edit, re-insert the image, and then laboriously set the size and position of the new image to match the old image.

FlexiPDF 2019 does all of this for you: One click on Object > Image > Edit is enough to open the selected image in your preferred image-editing application. When you are done editing, all you have to do is save the image in your image editor. FlexiPDF notices this immediately and offers to reload the image:

When you confirm, the edited image is inserted back into the document at exactly the same position as the original image.

Find and replace colors

Sometimes it is necessary to change all occurrences of a specific color in a PDF, for example to adapt an existing document to the corporate design of your company. The new "Find and Replace Colors" feature makes this much easier: all you have to do is choose the color you want to replace, and FlexiPDF does the rest. To find and replace colors, choose Edit > Find & Replace > Colours:

In the "Find" section, you specify the color that is to be replaced. Using the checkboxes next to it, you can optionally restrict the replacement to fill or outline colors.

In the "Replace" section, you define the target color. The checkboxes allow you to limit the replacement to text or graphics (vector graphics).

The new user interface

If you have worked with FlexiPDF 2017 before, you will notice it immediately when you start FlexiPDF 2019 for the first time: the user interface has been modernized. The toolbar icons have been completely redesigned to match the design of SoftMaker Office 2018:

In addition, FlexiPDF 2019 (like SoftMaker Office 2018) now also has a touch mode with enlarged icons – quite useful with touchscreens and high-resolution screens.

To activate touch mode, click the little arrow icon on the right edge of any toolbar, select Add or Remove Buttons > Customize, and activate Large Icons on the Options tab:

The refresh of the user interface does not stop with icons: We have made improvements in many other areas to make your work easier:

  • The menus have been organized to be more user-friendly. For example, all page operations are now available in the new "Pages" menu, and all translation functions can be found directly in the new "Translate" menu.
  • There is no longer a distinction between the work modes "View", "Comment" and "Edit", which makes working with PDFs much more intuitive.
  • The new font browser, which has a preview function, helps you pick fonts visually.
  • Numerous new buttons and redesigned dialogs make your workflow faster.

Convenient unlocking of the program

Since we released the predecessor FlexiPDF 2017, we repeatedly received inquiries from customers who had difficulties unlocking the software. We took this to heart: the unlock mechanism of FlexiPDF 2019 has been completely revised and made like in SoftMaker Office. FlexiPDF can now be unlocked with a simple numeric product key instead of the old cumbersome mix of uppercase and lowercase numbers, digits and dashes:

Further innovations

  • The command Document > Split enables you to split multi-page PDF files into several smaller ones with a specific number of pages.
  • Use the new Text > Fitting command to automatically fit text into its text box.
  • The dialog box "Problem Report Results" (File > Problem Report) offers the new function "Auto Fix". This allows you to automatically fit text that does not fit ("overflow text") in the text boxes.
  • Let FlexiPDF automatically correct the font mapping of incorrectly encoded PDF files with the new OCR-based auto correction (Text > Remap Fonts > Auto Correct).

I just bought Flexi.pdf. But cannot see how to insert a text callout box. ie a text box with an arrow to the subject of the comment. There just seems to be text boxes on the comment menu. Can you tell me how to do it please.

With the current version of FlexiPDF, you can only edit the content of text callout boxes that are already placed in the PDF. Inserting new text callout boxes is not yet supported though. We added this feature to our "wish list" for future versions of FlexiPDF. Thank you for your suggestion.

I found that I cannot use Google translator or any other from Hebrew PDF document since Copy/Paste to the working window creates inappropriate string direction from Hebrew.

Is there a way to set a default Font since every time I use the program I have to go through the process to select a font.

I am looking for a replacement program for my outdated Nitro Pro ver 7.5. I tried the newest ver 12, and though it had some of my desired improvements, it went backward with the OCR capability that I use.
I use the program mainly for creating PDFs from my scanner or from printing to PDF from websites or from my other programs - including your Office suite.
The replacement program must be able to do the following:
Print to PDF from any program or browser
Create PDF from my scanners - including the multiple page, automatic document feeder (ADF)
Create editable text via OCR
include ability to insert pages (including blanks), images, and text
Allow moving text and images around the page - relaying out the content
Bonus if text and images can move or flow between pages - like in a word processor
Allow form filling (creation a bonus)
Allow markups with text boxes and call out boxes - I don't like sticky notes
Allow insertion of circles, rectangles, arrows, and other shapes
Select and delete text and images at random on a page (clean up)
Insert text and graphic anywhere from an external file or clipboard
Create new PDFs from the clipboard
Merge files into a single document - preferably without saving first
Allow redaction of sensitive data

Most of these things I can already do with my Nitro Pro with the exception of the page clean up and clipboard creation of a PDF with editable text from the clipboard.
I use the program for archival puposes, and to create markups for communication or emphasis.
I was able to do all of this at work with a copy of Acrobat pro. I purchased Nitro Pro so I could do most of these things at home as well. The program has served me well but is having issues opening some downloaded files - statements from one of my credit cards, and is lacking in page layout and creation capabilities. It also has some issues with OCR.
PDF Element came closest with superb OCR and page layout, but lacked the markup tools I need and couldn't handle multiple page scans from an ADF scanner.
I would like to see a complete list of functionality of Flexipdf - Especially multiple page scans, markup tools, OCR capability, and creation and editing tools.

FlexiPDF should support the features that you have listed. However, since your requirements regarding "page clean up" and "clipboard PDF creation" seem to be very specific, you might want to have a look at our free trial version to check if FlexiPDF suits your needs:

In case of non-commercial use, you and the members of your family (e.g. your wife) are entitled to using one license of SoftMaker Office on up to five computers at the same time, as long as these computers belong to the same household. This also applies to copies purchased at the upgrade price.

Please note however that FlexiPDF is limited to three PCs instead of five.

This sounds really great! FlexiPDF is definitely one of the best pdf software that exists. Still I wonder, is there really no booklet printing option? I have missed that in earlier versions.

I found that FlexiPDF 2017 couldn't extract a photo from a downloaded pdf, whereas Word did this easily. Any progress here with the new version?

I bought Flexi PDF last year online.
I don't know why but It's labeled "FlexiPDF 2017".
And it didn't meet my expectation.
It doesn't even have snapshot function, which Adobe Acrobat already had in 2008.
And FlexiPDF takes a long time to start up.
I'm wondering if I should update to 2019 version of FlexiPDF with almost the same cost I purchased 2017 in 2018.
And would I get the newest version if I decided to update?

Thanks for your comment. Of course you get the latest version (FlexiPDF 2019) if you buy an upgrade. FlexiPDF 2019 also includes the snapshot tool you mentioned. You would also benefit from many other improvements of the latest version.

If you want to make sure that you always have the latest version of FlexiPDF, our subscription version might be interesting for you. During your subscription, all upgrades to new versions are included for free.

FlexiPDF 2019 enables you to export PDF files for further editing with TextMaker or Word. To do so, go to "File > Export > Pages as > Format" and select "Microsoft Word" or "TextMaker" from the "Text Output" dropdown list of the "General" tab.

Would like to see FlexiPDF be able to have an icon/tab in MS Office programs to convert native files to PDF with a key press. I'm upgrading to 2019 now. It sounds wonderful. I think your support is terrific.

Thank you. We're glad to hear you're satisfied with our support. With FlexiPDF, you can generate PDF files out of literally any Windows application, also with most Office suites. Just use the Office suite's "Print" function and select the printer "FlexiPDF". In many applications, you can also just press "Ctrl+P" for accessing the print dialog where you can select the FlexiPDF printer driver.

I like all the improvements. Question: One enhancement I was hoping for is the ability to allow multiple people to edit/comment on a document, where the original author can then choose to accept or reject the various edits, additions, deletions from the other people reviewing the document. Each person would choose a separate color for additions and another color for deletions. It's need a feature in Microsoft Word for a long time. Would love to see that in Flexipdf.

FlexiPDF 2019 supports the simple highlighting of changed text. However, it doesn't yet support such elaborate collaboration features as you described. Thanks for your suggestion though. We have already forwarded it to our product management.
